TERMS AND CONDITIONS OF THE TOURS.

By booking or participating in a tour, or any related product or service (“Tour”) with Machupicchu Condor Trek, you acknowledge and agree to abide by these Terms and Conditions.

RESERVATION:

  1. Your reservation is confirmed and a contract exists when the tour operator or your travel agent issues a written confirmation after receipt of the appropriate deposit amount. Check your confirmation carefully and report any incorrect or incomplete information to the tour operator or authorized agent immediately. Make sure that the names are exactly as they appear on the corresponding passport.
  2. You will make a deposit that is refundable according to the time traveled and in some cases it is non-refundable and there are no exceptions.
  3. At the checkpoint to enter the Inca Trail or alternative trail, you must show the original passport (not a copy) with which you made the reservation. If you originally made the reservation with an old passport and then renewed your passport, you must also bring your expired passport along with your new and valid passport in order to enter, otherwise you will be denied entry to the Inca Trail.
  4. The only valid identity document to receive a student discount is the university ID card, with a clear expiration date that must be from the same year or the following year of the trek. The Peruvian government will not accept ID cards with an expiration date, even if they are clearly valid. A copy of this card must be presented at the time of booking.

CANCELLATIONS:

  1. Cancellations: To confirm this trip, a 40% deposit per person is required at the time of booking. The balance of the tour price must be paid 90 days prior to departure date, otherwise upon arrival in Cusco. Special payments for holidays and cancellation conditions may apply. Clients who wish to cancel their trip for any reason must do so in writing (we do not accept medical notes of any kind), as our expenses incurred by the company are non-refundable to us. Standard cancellations are subject to the following penalties per person, depending on the number of days prior to departure:

ONCE RESERVED, DEPOSITS ARE NON-REFUNDABLE. THE FOLLOWING TABLE DESCRIBES THE ADDITIONAL FEE TO BE PAID.

Cancellation for Terms

91 days or more prior to departure We will retain 50% of your deposit.

90 – 30 days prior to departure We will retain 75% of the total tour cost.

29 – 0 days prior to departure We will retain 100% of the total tour cost.

INCA TRAIL TOURS:

  1. Permits: Inca Trail permits are in your name and cannot be transferred to any other person under any circumstances. It is also not possible to change dates once a permit has been purchased. Permits are non-refundable and non-transferable. The deposit will be forfeited. Please note that this is a regulation of the Peruvian government and not of Machupicchu Condor Trek (or any agency).
  2. In extreme cases when the “Inca Trail to Machu Picchu” is declared closed for security reasons, Machupicchu Condor Trek will replace your trek with an alternative trek.
  3. Those who have booked PERMITS with a student card must carry this card with them during the trek. If you do not show this credential to the park rangers, you will not be allowed to enter the Inca Trail.

MEDICAL INFORMATION:

  1. You must inform Machupicchu Condor Trek of any medical problems or allergies you may have. You must be in good physical health and, if your health is questionable, you should consult a doctor. If you are over 70 years old, you must present us with a current medical certificate of good health.
  2. You are responsible for evaluating whether a Tour is right for you. You should consult your physician to confirm your fitness to travel and participate in any planned activity. You should seek your doctor’s advice on vaccinations and medical precautions. The Tour Operator does not provide medical advice. It is your responsibility to assess the risks and requirements of each aspect of the Tour based on your own circumstances, limitations, level of fitness and medical requirements.
  3. Machupicchu Condor Trek reserves the right to deny you permission to travel or participate in any Tour activity, at any time and at your own risk and expense, when the Tour Operator determines that your physical or mental condition makes you unfit to travel or poses a danger to yourself or others.
  4. Pregnancy is considered a medical condition and must be reported to the tour operator at the time of booking. The tour operator may refuse to carry pregnant women over 24 weeks. The tour operator may refuse to transport any person with certain medical conditions if reasonable accommodations or alternatives cannot be arranged.
  5. It is strongly recommended to purchase travel insurance to protect yourself in case of medical emergency or cancellation of any tour.

EXCURSIONS AND TREKS:

  1. All balances must be paid in cash, Western Union, bank transfer or PayPal (in full) prior to the briefing meeting to be held the night before your tour. Visa has a 5% service charge and if you need to use another card, it must be through PayPal which has a 5.5% service charge.

You must inform your guide if you wish to leave the group or camp area for independent treks or sightseeing. If you have any problems with the guide’s services or the tour, please inform the guide at that time, so that any problems can be resolved.

  1. All adventure treks include the transfer to Cusco. The return train ride depends on the availability of trains.
  2. If you become ill or injured on the trail and are unable to continue, a porter will be provided to accompany you back to an area with medical and emergency assistance capabilities. Helicopter transfers and medical assistance are at the hiker’s expense. If you are unable to complete the tour due to illness, we will assist you in meeting your group at Machu Picchu to restart your tour at that point. There will be no refund of the original payment. However, we will prepare a document to certify the illness that you can submit for your travel insurance.
  3. Machupicchu Condor Trek will take all reasonable precautions to avoid accidents, illness and loss of personal property to our clients and will only employ qualified personnel. We accept responsibility for the actions of our own employees. However, Machupicchu Condor Trek cannot be held responsible for any actions of third parties. You are fully responsible for your personal property and rented equipment.
  4. Machupicchu Condor Trek is not responsible for unfavorable weather conditions, natural catastrophes, strikes, accidents, illnesses, injuries, loss of personal belongings, etc. It is the client’s responsibility to take out insurance to cover these types of events. We reserve the right to modify or cancel the program due to any of the unforeseen conditions mentioned above.
  5. Machupicchu Condor Trek may modify its itinerary when reasonably necessary at its sole discretion.
  6. Group tours may have up to 16 participants. Groups are open to all, regardless of ability or age. By accepting a group tour, you agree that others may change the speed and timing of the tour.
  7. All tours are conducted in English and Spanish.

DELAYS:

  1. no reimbursement will be made for costs, whether direct or incidental, incurred by the Client as a result of delays caused by bad weather, Road conditions, river levels, road conditions, transportation delays, illness, government intervention or other contingencies beyond Machupicchu Condor Trek’s control.
